Booking Terms & Conditions Agreement

Please read these Terms & Conditions carefully. By booking or participating in any Soulcraft Journeys retreat or journey, you agree to be legally bound by this Agreement.

1. Definitions

  • “Company,” “we,” “us,” or “our” refers to Soulcraft Journeys LLC.

  • “Guest” or “Participant” or “you” refers to any individual who books or attends a Retreat or Journey.

  • “Retreat” or “Journey” refers to any program, workshop, or travel experience offered by Soulcraft Journeys.

  • “Supplier” means any third-party providing services, including accommodations, transportation, or activities.

  • “Force Majeure Event” means any event beyond reasonable control, including but not limited to natural disasters, pandemics, government actions, supplier failures, or civil unrest.

2. Booking & Acceptance

A booking is confirmed only upon receipt of the required deposit or full payment. By submitting a booking and making payment, you acknowledge that you have read, understood, and agreed to be bound by this Agreement.

Failure to comply with these Terms may result in removal from the Retreat without refund.

3. Payment Terms

  • A 25% non-refundable deposit is required at the time of booking to secure your place.

  • The deposit is applied toward the Total Journey Investment.

  • The remaining balance is due forty-five (45) days prior to the journey start date.

Failure to make payments when due constitutes a material breach and may result in cancellation of your booking without refund.

All prices are per person and considered final unless otherwise stated.

4. Cancellation Policy

All cancellation requests must be submitted in writing via email. The effective cancellation date is the date the notice is received.

Guest Cancellations

More than 90 days prior to departure

  • Deposit remains non-refundable

  • All additional payments will be refunded

45–89 days prior to departure

  • 75% of the Total Journey Investment is non-refundable

  • Any payments exceeding 75% will be refunded

44 days or fewer prior to departure

  • 100% non-refundable

No refunds will be granted for:

  • Illness

  • Personal emergencies

  • Travel disruptions

  • Weather

  • Early departure or no-shows

5. Transfers & Name Changes

  • Bookings may not be transferred between different retreats.

  • You may transfer your booking to another individual for the same Retreat up to 7 days prior to departure, subject to:

    • Written approval

    • Supplier restrictions

  • The original Participant remains financially responsible until transfer is completed.

We reserve the right to deny any transfer request that cannot be reasonably accommodated.

6. Rescheduling or Cancellation by Us

In the event the Company must cancel or reschedule due to a Force Majeure Event, you may choose:

  • Transfer to a future journey (subject to availability), OR

  • Receive a non-refundable journey credit valid for two (2) years

Journey credits:

  • Are non-refundable

  • Do not guarantee equivalent pricing or inclusions

  • May be used for any future offering within the validity period

These remedies constitute your sole and exclusive remedies.

7. Force Majeure

The Company shall not be liable for delays, changes, or cancellations resulting from Force Majeure Events. Retreats may be modified, postponed, or canceled at our sole discretion.

8. Third-Party Suppliers

Soulcraft Journeys acts solely as a coordinator of experiences and is not responsible for the acts, omissions, or performance of Suppliers.

All Supplier services are subject to their own terms and conditions.

9. Travel Responsibility

Participants are solely responsible for:

  • Flights and transportation

  • Visas and entry requirements

  • Travel documentation

10. Assumption of Risk

Participation in Retreats involves inherent risks, including physical, emotional, and environmental risks.

By participating, you voluntarily assume all such risks.

11. Medical Disclosure & Disclaimer

  • You must disclose all relevant medical conditions, allergies, injuries, or special needs prior to departure.

  • Failure to disclose may result in inability to participate without refund.

Soulcraft Journeys:

  • Does not provide medical advice

  • Is not responsible for medical care

  • May arrange emergency treatment if necessary, at your expense

12. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance covering:

  • Trip cancellation/interruption

  • Medical expenses

  • Emergency evacuation

13. Limitation of Liability

To the fullest extent permitted by law:

Soulcraft Journeys shall not be liable for any injury, loss, delay, or damage arising from:

  • Travel disruptions

  • Weather

  • Government actions

  • Supplier failures

Liability shall not exceed the total amount paid by the Participant.

14. Indemnification

You agree to indemnify and hold harmless Soulcraft Journeys from any claims, damages, or liabilities arising from:

  • Your participation

  • Your actions

  • Your breach of this Agreement

15. Media Release

By participating, you grant permission for use of your image, likeness, or voice in promotional materials, unless revoked in writing prior to the Retreat.

16. Dispute Resolution & Arbitration

Any dispute arising from this Agreement shall be resolved by:

  • Binding individual arbitration in Texas

  • Administered under applicable arbitration rules (e.g., AAA)

  • Class actions are expressly waived

17. Governing Law & Venue

This Agreement shall be governed by the laws of the State of Texas.

Venue and jurisdiction shall be:

  • State or federal courts located in Texas

  • Arbitration seated in Austin, Texas

18. Entire Agreement

This Agreement constitutes the entire understanding between the parties and supersedes all prior agreements, whether written or oral.

By booking, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
